production - despatch coordinator

Our client is a leading promotional merchandise company close to King Cross and Camden.

Working within a busy in-house Production Department, in this combined position you will:

  • Coordinate and administrator the manufacture and delivery of our UK supplied, bespoke designed and pre-manufactured promotional products.

  • Provide a range of Despatch services and oversee the overall despatch workload.

The Production role which is about 66% of the role include;

  • Ensuring delivery dates are met at production and delivery stages.

  • Processing orders for UK sourced promotional merchandise products for a team of Sales Executives and Coordinators.

  • Liaising with colleagues and contractors at all stages of manufacture and delivery

  • Ensuring all design artworks are checked and sign-off by all parties.

  • Ensuring sales and delivery documents are signed and approved.

  • Ensuring the correct delivery addresses are provided to factories to avoid additional carriage costs and missing deadlines

  • Checking deliveries of client orders

  • Assisting in despatch of items

  • Checking prices, delivery addresses, dates and all information on order acknowledgements prior to approval.

  • Prioritising urgent orders

  • Ensuring all documents relating to each order are properly completed and recorded on to the company CRM system.

  • Providing updated information notes on to the bespoke database/CRM, to ensure Sales Executives and Sales Coordinators have up to date information detailing the exact stage of each order.

  • Providing holiday cover to the Production Coordinator dealing with far-east suppliers.

The Despatch role with is about 33% of the role include:

  • Ensuring deliveries are received, checked, processed and despatched on a daily basis.

  • Create delivery notes using a bespoke customer database

  • Sorting shipments

  • Preparing boxes for dispatch

  • Entering dispatch details on DHL system

  • Liaise with Sales people and sales coordinators on dispatch consignments

  • Liaising between production supervisors

  • Providing direction to the Production Administrator

  • Providing holiday cover for the Despatch Administrator

The skills needed include:

  • Numerate

  • Good IT skills

  • Good telephone manner

  • Able to lift and carry boxes on a regular basis

Ideally you will experience of:

  • working in a busy sales environment,

  • working with UK merchandise manufacturers and suppliers,

  • working in despatch or warehouse environment

  • working with logistic, haulage and despatch contractors,

  • working in a customer focussed environment,

  • using a sales database or CRM system

  • Supervising the work of others

The hours are 9/6 Monday to Thursday and 9/5.30 on Fridays.

The office is located close to Kentish Town and Gospel Oak stations.
