A cracking opportunity has come up for an experienced, proactive executive assistant and office manager to join a busy company in the music industry. In this key role you will provide high-quality executive support to the CEO and facilitate the smooth running of an office of around 35 staff in their central London offic

Your main duties will include scheduling meetings, making travel arrangements and organising daily calendars, as well as maintaining the facilities in the London office. You’ll be the key liaison between the CEO, the Chairman and the senior leadership team as well as other senior figures across the creative industries, so a calm, capable and friendly demeanor, a self-starting attitude and an ability to understand and balance different people’s priorities are all key. The organisation straddles the worlds of music and politics and an understanding of both worlds would be beneficial. Their ideal candidate will have solid experience as an EA or PA and is familiar with office management procedures. You will also be experienced in liaising with people at different industry levels, including very senior people.

- Coordinate daily calendar for CEO, planning appointments and events and screening calls

- Act as the point of contact between CEO, other staff and external contacts and stakeholders

- Manage a team of two part-time receptionists, including any recruitment and temp cover

- Oversee, file and prioritise CEO’s email correspondence

- Make local and international travel arrangements

- Collate papers for all the CEO’s meetings and provide them to him with a weekly schedule

- Log and file CEO’s expenses

- Compile and circulate board papers to an impeccable standard

- Manage invitations and guest lists for any industry events organised by the company

- Manage ad-hoc projects including budgeting

- Prepare written correspondence and presentations where needed

- Suggest more efficient ways to run the office and troubleshoot malfunctions

- Maintain the function and supplies in the office, organising maintenance and repairs and maintaining kitchen and office supplies

- Liaise with the building management team regarding works/repairs, security issues and fire safety

- Manage an annual departmental budget

- Support the COO on ad-hoc operational issues

- Organise staff events, including the Christmas party

- Review and recommend changes to our company policies


- Solid experience as a PA or EA (essential)

- Experience as an Office Manager (desirable but not essential)

- Experience in the music industry (desirable)

- Knowledge of office procedures

- Solid experience with MS Office including PowerPoint

- Familiarity with online calendars (particularly Outlook) and cloud systems

- Strong communication skills (via phone, email and in-person)

- Project management experience would be beneficial though not essential

- A sharp eye for detail and accuracy

- Impeccable attitude towards discretion and confidentiality with sensitive companyor industry information

- An understanding of issues and developments around diversity (desirable)

- Excellent organisational skills with an ability to think proactively and prioritise work
